Pick a group, see exactly what each member owes today, take the payment, print the receipt, and let the system apply every rupee to the right instalment.

Short answer: In CK Tech microfinance software the field agent opens a group's collection sheet, which shows for every active loan the amount to collect, the arrears, the number of overdue instalments and the amount payable now. A payment defaults to what is payable, can never exceed the outstanding balance, is applied to the oldest unpaid instalment, and produces a receipt. Receipt and due-date messages can be sent by SMS and WhatsApp.

What does the collection sheet show?

For a chosen group, every active loan is listed with the figures an agent needs at the door.

Amount to collect

Instalments due up to today that are still unpaid.

Arrears and overdue count

What was due before today and how many instalments that is.

Payable now

The amount the Pay button collects by default. Before an instalment is due, it is the next EMI as an advance.

Today's groups

A switch to show only groups whose collection day is today.

What happens when a payment is taken?

The same rules apply to every collection, whoever enters it.

Oldest first

The payment is applied to the oldest unpaid instalment, so arrears clear before advances build up.

Safe amounts

The amount cannot exceed the outstanding balance, and a repeated tap does not record the payment twice.

Who collected

The collecting user is recorded from the login, not typed in.

Receipts

Each payment gets a receipt number, and a payment entered by mistake can be cancelled.

Loan closing

When the balance reaches zero the loan can be closed.

Receipts and reminders by SMS and WhatsApp

Receipt and due-date messages can be sent to borrowers by SMS and WhatsApp, so members get proof of payment and a reminder before the collection day.

Using it on a phone

The collection screens switch from a table to cards on small screens, so an agent can work from a phone browser. The software runs online, so a connection is needed while collecting.

How it works

  1. Open Collections and choose the group, or switch on today's groups.
  2. Read each member's amount to collect, arrears and payable amount.
  3. Enter the payment; the default is the payable amount.
  4. Give the receipt, then hand the cash over for settlement at the end of the day.
